JOB DESCRIPTION:
We are seeking an experienced and driven Program Delivery Manager for our Billing Centralization Program tasked with centralizing and transforming the billing function across all business units. The centralization program aims for enterprise-wide billing standardization and centralisation currently sitting withing the business. The role will play a key part in managing this transition and post stabilization.
During Coordinate program; execution across all waves ensuring on-time, on-budget delivery with risk mitigation. Track milestones, manage dependencies, facilitate stage-gate reviews, and provide transparent reporting to executive stakeholders.
Program Planning & Tracking
- Manage external PMO support
- Maintain integrated program plan tracking all wave activities, milestones, and dependencies
- Monitor progress against baseline timeline (22 months, 3 waves)
- Update weekly status reports
- Coordinate cross-wave dependencies (e.g., Wave 2 hiring during Wave 1 stabilization)
- Manage program budget tracking actual spend vs. approved investment
Risk & Issue Management
- Maintain RAID log (Risks, Assumptions, Issues, Dependencies)
- Facilitate weekly risk review sessions with BMT Head and key stakeholders
- Escalate critical risks to CFO and Steering Committee
- Track mitigation action completion and effectiveness
- Monitor constraint metrics (SLA, NPS, escalations) for automated triggers
Stage-Gate Facilitation
- Prepare stage-gate review materials (business case refresh, benefits realization, lessons learned)
- Coordinate Stage-Gate 1 (Month 6 post-Wave 1), Stage-Gate 2 (Month 6 post-Wave 2), Stage-Gate 3 (program close)
- Facilitate GO/NO-GO decision-making with evidence-based recommendations
- Document decisions and action items from governance forums
Stakeholder Communication
- Coordinate monthly Steering Committee meetings (CFO, LoB Leaders, BMT Head)
- Prepare executive dashboards and presentations for CEO/Board updates
- Interface with LoB and Transformation Office on alignment
- Maintain stakeholder communication calendar and distribution lists
Lessons Learned & Knowledge Transfer
- Capture lessons learned after each wave (what worked, what didn't, why)
- Document best practices for future transformation initiatives
- Support knowledge transfer to BAU team as program closes
Post-Stabilization: Drive operational excellence through continuous improvement initiatives, performance benchmarking, and automation opportunities. Monitor KPIs, identify optimization areas, and lead projects enhancing efficiency, quality, and cost-effectiveness.
Key Responsibilities (BAU Phase)
Performance Monitoring & Analysis
- Monitor KPI trends (cycle time, error rates, cost per invoice, utilization)
- Conduct monthly variance analysis vs. targets and prior periods
- Benchmark BMT performance against industry standards
- Prepare quarterly business reviews with insights and recommendations
Continuous Improvement Projects
- Lead 2-3 improvement projects annually targeting efficiency gains or error reduction
- Apply Lean/Six Sigma methodologies (process mapping, value stream analysis, DMAIC)
- Coordinate automation pilots (RPA for fixed-fee invoices, workflow tools)
- Evaluate billing software enhancements and business cases
- Track project benefits realization and ROI
Innovation & Best Practice & Governance
- Research emerging technologies and industry trends in billing operations
- Organize quarterly innovation workshops with BMT team
- Develop business cases for automation, AI, or process redesign investments
- Maintain network with industry peers for knowledge exchange
- Support internal audits with process documentation and controls evidence
- Maintain process documentation reflecting current state
YOUR PROFILE:
- Bachelor’s degree in business, Finance, Operations, or related field
- 4-6 years project management, business analysis, or operations excellence experience
- PMP, Agile, or Lean Six Sigma certification preferred
- Strong organizational and coordination skills
- Analytical mindset with change management awareness
