JOB DESCRIPTION

This is a full time and office-based role. As the Receptionist/PA you will work as part of a team and be responsible for the following: 

  • Answering and forwarding reception calls, meeting and greeting all visitors. 
  • Ensure smooth running of the reception including arranging client meetings both internally and externally, room booking management, providing refreshments for visitors. 
  • Handling incoming and outgoing postal services, including courier bookings.  
  • Collecting, distributing and assisting with scanning of daily posts. 
  • Being the central point of contact for travel management.  Arranging Hotel and Taxi bookings when required. 
  • Printing and binding documents as requested. 
  • Assisting the office manager in maintaining employee logs - New joiner and leaver checklist, ADUK Employee list with extension and emergency numbers. 
  • Monitor and maintain office equipment list. 
  • Managing and creating employee access cards, allocating and removing staff from the Access system. 
  • Ensuring the office, meeting rooms and kitchen are fully stocked with supplies. 
  • Managing regular maintenance of specific office equipment e.g. printers, coffee machines, drinking water taps and request/respond to “handyman” requests when required. 
  • Being the primary point of contact for everyday requests from staff, contractors, third parties and office administration contacts (courier, office plants, stationary etc.) 
  • Helping Director’s with expenses claims. 
  • Assisting with the management of company events as and when required. 
  • Being a nominated First Aider and Fire Warden ensuring all roles & responsibilities for activities are conducted and completed in a professional manner in line with regulations (training will be given). 
  • Supporting with Personal Assistant duties for senior members of the ADUK team, including diary management, restaurant bookings, travel/accommodation arrangements, and report/presentation writing.  
  • Assisting and provide back-up for the Office Manager as and when required. 
  • Any other tasks reasonably requested by Management.

YOUR PROFILE: 

  • A minimum of two years proven reception/administrative/office support experience. 
  • Excellent communication (Verbal and Written) and Multitasking skills. 
  • Reliable and punctual. 
  • Excellent customer care skills and attention to detail. 
  • A great team player. 
  • Good IT skills (Microsoft Outlook, word etc.) and ability to learn internal systems. 
  • On occasions, some manual lifting is required within this job role e.g. lifting boxes, moving equipment, carrying items from loading bay and around the office.  Equipment is provided to assist with this adaptability and flexibility.
