Position Summary

The Client Onboarding Support Officer is responsible for executing day-to-day onboarding tasks in support of the broader Client Onboarding team. This role focuses on completing assigned onboarding activities accurately and on time, supporting Senior Officers and Project Managers in delivering a consistent and high-quality client experience across Private Equity, Real Assets, Private Credit, and Loan Agency & Administration products. The Officer performs hands-on tasks related to onboarding setup, documentation processing, checklist management, and internal coordination.

Key Responsibilities

1. Onboarding Task Execution

  • Complete assigned onboarding tasks accurately and within established timelines, following defined workflows and process guides.
  • Execute client setup activities including folder creation, CRM updates, SFTP configuration, distribution list setup, and bank setup coordination.
  • Update and maintain onboarding checklists, trackers, and status reports on a regular basis.
  • Support data migration activities by tracking progress, flagging discrepancies, and updating relevant logs.
  • Assist with client transition tasks as directed by Senior Officers or Project Managers.

2. Documentation Processing & Compliance Support

  • Collect, review, and submit KYC/AML documentation (entity data, ownership structures, tax forms) in line with internal compliance workflows.
  • Perform quality checks on onboarding documentation to ensure completeness, accuracy, and proper filing.
  • Assist with the preparation and organisation of deal documents, including LPAs, credit agreements, fee letters and other legal agreements (Master Servicing Agreements).
  • Log and track document statuses, outstanding items, and follow-up actions in onboarding trackers.
  • Flag documentation gaps or compliance issues to the relevant Senior Officer or team lead promptly.

3. Internal Coordination & Communication

  • Follow up with internal teams on assigned open items and outstanding deliverables to keep onboarding tasks on track.
  • Attend and take notes during kickoff meetings, status calls, and team check-ins as directed.
  • Communicate task updates clearly and in a timely manner to Senior Officers and Project Managers.
  • Escalate issues, blockers, or delays to the appropriate team member as soon as they are identified.

4. Reporting & Process Adherence

  • Maintain accurate and up-to-date project artifacts (onboarding trackers, checklists, and reporting dashboards).
  • Adhere to established SOPs, templates, and process standards for all onboarding activities.
  • Flag workflow gaps or process inefficiencies to Senior Officers and contribute ideas for improvement.
  • Support the preparation of status reports and onboarding dashboards as directed.

Specific Responsibilities Include:

  • Set up and maintain onboarding frameworks including folder structures, checklists, and required system setup activities (e.g., CRM, SFTP, distribution lists, bank setup, branding, platform liaison).
  • Collect, process, and submit KYC documentation while supporting CAC requirements and internal compliance workflows.
  • Track and coordinate legal and closing documentation, including governing documents, agreements, fee letters, and closing sets, ensuring completeness and accuracy.
  • Follow up with internal teams (Legal, Compliance, Operations) on open items and deliverables to meet agreed timelines.
  • Maintain onboarding trackers and checklists to support Senior Officers and Project Managers with accurate status visibility.

Your Profile

Qualifications

  • Entry level or 2+ years of work experience in client services, onboarding, loan operations, financial services, or an equivalent support role in a growth company.
  • Exposure to Private Equity, Real Assets, Private Credit, or Loan Agency & Administration is a plus
  • Basic understanding of KYC/AML documentation and onboarding processes.
  • Strong attention to detail with the ability to manage multiple tasks in a deadline-driven environment.
  • Proficiency in Microsoft Excel and PowerPoint; experience with project management or tracking tools is a plus.
  • Reliable, organised, and able to follow established processes with a high degree of accuracy.
